1. Introduction
Welcome to “That should be an e-mail” (“we,” “our,” or “us”). We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how our browser extension collects, uses, stores, and protects your information when you use our services to calculate the financial cost of meetings.
By installing and using the “That should be an e-mail” extension, you consent to the data practices described in this policy.
2. Information We Collect
To provide our core functionality — calculating the cost of calendar meetings — we need to access specific data points. We believe in data minimization and only collect what is strictly necessary.
2.1. Data Processed Locally (Free & Standard Usage)
For most users, our extension processes data locally on your device. The following data is read by the extension but is not transmitted to our servers:
- Calendar Event Details: We read the number of participants, meeting duration, and meeting titles from your active Google Calendar or Microsoft Outlook tabs.
- Participant Identifiers: We may read participant names or email domains to apply your custom salary overrides.
- We DO NOT read, access, or store: The content of your meeting descriptions, meeting attachments, video/audio feeds, or any participant emails.
2.2. User-Provided Data
- Custom Overrides & Settings: If you input custom salary rates, preferred currencies, or specific user roles, this data is stored using your browser’s local storage (e.g.: chrome.storage.local or chrome.storage.sync).
- Account Information (Pro Tier): If you subscribe to our paid tiers for cloud synchronization or team features, we collect your email address and authentication details, settings and overrides.
2.3. Automatically Collected Data
If you interact with our website or utilize cloud-sync features, we may collect basic analytics (e.g., extension version, browser type, and operating system) to ensure compatibility and troubleshoot bugs.
3. How We Use Your Information
We use the information we collect strictly to operate and improve the extension:
- To calculate the real-time financial cost of meetings displayed on your screen.
- To apply your saved preferences, currencies, and custom salary overrides.
- To sync your settings across multiple devices (only if you have opted into and enabled Cloud Sync/Pro features).
- To comply with legal obligations and enforce our Terms of Service.
4. Extension Permissions Explained
Our extension requires specific browser permissions to function. Here is exactly why we need them:
activeTab/ Host Permissions (e.g.,*://calendar.google.com/*,*://outlook.live.com/*): Required to read the DOM (Document Object Model) of your calendar to count participants and track meeting duration.storage: Required to save your settings, default salary databases, and custom overrides locally on your machine.
5. Data Sharing and Disclosure
We are in the business of saving you time and money, not selling your data.
- We do not sell, rent, or trade your personal or calendar data to third parties.
- Service Providers: If you use our Pro tiers, we may share minimal necessary data (like your email) with trusted third-party payment processors (e.g., Stripe) to facilitate transactions.
- Legal Compliance: We may disclose your information if required to do so by law or in response to valid requests by public authorities.
6. Data Security
We implement industry-standard security measures to protect your data. Because the primary functionality of the extension relies on local processing, the risk of data breaches is significantly minimized. However, no method of transmission over the Internet or electronic storage is 100% secure.
For Cloud Sync users, data is transmitted over secure, encrypted connections (HTTPS) and stored in secure database environments.
7. Your Data Rights
Depending on your location (including under GDPR, CCPA, or LGPD), you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data.
- Opt-out of certain data processing.
How to exercise these rights: For locally stored data, you can simply clear your browser’s local storage or uninstall the extension, which immediately deletes all your settings. For Cloud/Pro users, please contact us directly.
8. Children’s Privacy
Our extension is designed for use by professionals in corporate environments. We do not knowingly collect personal information from children under the age of 13. If you become aware that a child has provided us with personal information, please contact us so we can delete it.
9. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date. If the changes significantly alter how we handle your data, we may prompt you within the extension.
